How to Read a Payslip: From Gross to Bank
A payslip shows where the gap between the contract amount and the transfer comes from, and why pay changes month to month.
Updated:
A payslip breaks wages into three levels: gross from the contract, contributions and tax, net, meaning the amount in the bank account. Anyone who knows how to read a payslip can understand the gap between the contract and the transfer in minutes.
Three levels of a payslip: how to read it
1. Gross. The contract amount plus extra components: overtime, night-shift allowances, bonuses. This is the basis for every further calculation.
2. Contributions financed by the employee. Pension, disability and sickness contributions reduce the gross amount and set the basis for the health contribution and tax. Contributions and the tax advance are not deductions within the meaning of the wage-protection rules: the act deducts them. Under a contract of mandate, pension and disability contributions are compulsory, while sickness contribution is voluntary. A pupil or student under 26 on a contract of mandate pays no contributions.
3. Tax and net. The income tax advance and health contribution come off last. The size of the advance is affected by the tax-reducing amount from the submitted PIT-2, tax-deductible costs, and income accrued since the start of the year. What is left is net: the transfer amount. Under a contract of mandate, tax-deductible costs are 20% of income after social contributions are deducted.
On the payslip these levels usually appear as separate lines: gross wage, contribution assessment basis, individual ZUS (social insurance) contributions, tax assessment basis, tax advance, health contribution, net wage. Separately, the employer tops up its own share of contributions. It does not show on the payslip, but it is a real cost of employment. The full calculation mechanism is covered in the article on calculating net and gross wages.
Where differences between months come from
Even with the same contract, pay can still change. The most common reasons:
- a different number of hours to be worked in a given month,
- overtime and allowances for night work or work on days off,
- crossing the threshold of the second tax bracket (currently PLN 120,000 per year) during the year,
- losing the youth tax exemption after turning 26,
- a change in tax status during the year.
Under a contract of mandate, pay depends on the number of hours worked, and overtime and night work allowances are due only if the contract provides for them.
Does the employer have to issue a payslip every month
The Labour Code does not directly impose an obligation to issue a monthly payslip in a fixed form. An employee under an employment contract has the right to inspect the documents on which their wage was calculated (Article 85 §5 of the Labour Code). A monthly payslip in practice usually results from a given employer's work regulations, remuneration regulations or collective agreement, if they provide for it. Under a contract of mandate, whether you get a payslip depends on the contract.
The youth tax exemption on a payslip
People who have not turned 26 benefit from an income tax exemption (youth tax exemption) for income from employment contracts and certain contracts of mandate, up to an annual income limit. Once the limit is exceeded in a given year, the surplus is taxed under general rules: a common reason why net pay suddenly drops despite the same gross rate. After turning 26, the exemption stops covering income earned after that date. From that point the employer withholds a tax advance.
When a payslip item is unclear
If you see an item you don't understand, ask about it in the same month. Amer employees raise such questions with their coordinator. A quick explanation saves recalculating contributions and tax for months already closed.
The payslip also shows absence periods, such as sick leave, unpaid leave or unexcused absence. Each of these categories is calculated differently and affects the net amount differently.
When a payslip is useful beyond the pay itself
It is worth keeping documentation on how wages were calculated for yourself, even if the employer only provides it electronically. It is useful for the annual tax settlement, for residence matters that require proof of income, and when employment history needs to be reconstructed after years. The six fields that define the contract itself are covered in the article on reading an employment contract.
Frequently asked questions
What does the tax advance on a payslip depend on?
On the tax assessment basis after subtracting contributions, tax-deductible costs and the tax-reducing amount from the submitted PIT-2, as well as on the level of income accrued since the start of the year.
How to get details of the payslip calculation?
Ask the employer for the documents on which the wage was calculated. Under an employment contract, the employee has the right to inspect them (Article 85 §5 of the Labour Code). Amer employees ask their coordinator about this.
Why does net pay drop despite the same gross rate?
Most often it is the loss of the youth tax exemption after turning 26, crossing the threshold of the second tax bracket, or fewer hours to be worked in a given month.
This text describes the general rules. What you are entitled to depends on your type of contract: an employment contract (umowa o pracę) or a contract of mandate (umowa zlecenie). Your own contract and payslip are what count.
