Who manages the employment agency registry (KRAZ)

The National Employment Agency Registry is managed by voivodeship marshals. You can check the entry status and scope of activity by company name or tax ID number (NIP) in the STOR system search. The rules for entry and application form are also described in the service on biznes.gov.pl.

As of June 1, 2025, the Act of March 20, 2025 on the labor market and employment services came into force, replacing the previous 2004 Act on employment promotion and labor market institutions. The registry itself and the entry requirement remain unchanged, though some conditions described below have changed.

How long registry entry takes

The office handles the matter within 14 days. If within 21 days of submitting the application the office does not make an entry or request additional documents, the agency may begin operations despite lacking a formal decision.

What to look for beyond just the entry number

The entry alone is not sufficient. Three elements determine whether the supplier can actually handle the given contract:

  • scope of activity: the registry distinguishes between job placement, personnel advice, career guidance and temporary work. An entry for job placement does not authorize staff leasing;
  • data compliance. The company name and tax ID from the registry should match the contract and invoice, and if there is a discrepancy, it is worth asking the supplier for an explanation;
  • entry date when handling foreign workers. Agencies entered after June 1, 2025 may direct foreign workers to work only two years after the entry. Agencies entered earlier retained this authorization if they filed an application to change the entry by August 31, 2025.

An employment agency does not charge candidates for finding work. Exceptions apply only to directing workers abroad and are set out in the regulations.

When staffing with foreign workers, check the supplier's entry date: an agency entered after June 1, 2025 cannot direct foreign workers to work before two years have passed since the entry.

It is also worth getting the entry number in writing, along with the offer or contract. It is public in the STOR system, so it is easy to compare against the registry afterward.
